M-Pesa rent collection: automatic payment matching for landlords

The Nyumba Team · 11 September 2026 · 5 min read

If you own or manage rentals in Kenya, M-Pesa rent collection is probably how most of your money already moves. The hard part was never getting tenants to pay by phone; it is knowing, at a glance, who paid, who is short, and who is late, without scrolling through a wall of confirmation messages every month. This guide walks through the setup and habits that turn a messy inbox into a clean, reconciled rent ledger.

Paybill or Till: pick the right M-Pesa product

The account you collect into shapes everything that follows. Kenyan landlords generally choose between two Safaricom business products:

  • Paybill lets a tenant enter an account number when they pay. That field is gold for landlords, because it can carry a house or unit reference that tells you exactly which tenant sent the money.
  • Buy Goods (Till) is faster for tenants but has no account-number field, so every payment lands looking almost identical. You end up matching by phone number and amount, which gets fragile the moment two tenants pay the same rent.

For anything beyond a single unit, Paybill is usually the better fit precisely because of that account-number field. If you already run a Till, you can still collect well; you just lean harder on consistent amounts and phone numbers to tell payments apart.

Standardise your account number before anything else

Automatic matching lives or dies on the reference a tenant types. Decide on one format and put it everywhere: the tenancy agreement, the WhatsApp reminder, a sticker on the door. Good references are short, unique and hard to fat-finger.

  • Use the unit, not the name. "GREENVIEW-B4" survives a tenant moving out far better than a personal name.
  • Keep it consistent. Pick a casing and separator and never vary it, so "b4" and "B-4" don't become two different tenants in your records.
  • Pre-fill it. Send tenants a saved M-Pesa contact or a copy-paste block each month so they don't guess.

Even with perfect instructions, some tenants will type the wrong thing, pay from a relative's phone, or round the amount. Your system needs a plan for those, which is the next section.

How M-Pesa rent collection matches payments automatically

"Automatic matching" simply means software reads each incoming M-Pesa payment and links it to the right tenant and month without you doing it by hand. Under the hood it compares a few signals:

  • The account number against your list of units.
  • The paying phone number against numbers you have on file for each tenant.
  • The amount against the rent (and any utilities) due for that unit.

When those line up, the payment is recorded and receipted instantly. When they don't, a good tool flags the payment for a quick human decision instead of guessing. In Kenya this is powered by Safaricom's Daraja C2B feed, which pushes each transaction to your system in real time. This is exactly the model Nyumba uses: it listens to your own Paybill or Till, auto-matches what it can, and flags the rest for review. Worth stating plainly: the money never touches Nyumba. Tenants pay directly into your account, and the app only records and reconciles.

Handle the awkward payments without losing your mind

Reconciliation is really just a routine for the exceptions. Build these habits and month-end stops being a scramble:

  • Partial payments: record what came in and let arrears tracking carry the balance forward, rather than pretending the month is settled.
  • Overpayments: decide up front whether the surplus becomes credit for next month or covers a utility bill, and apply it the same way every time.
  • Wrong or missing reference: match on phone number, confirm with the tenant, then save that number so the same person auto-matches next month.
  • Third-party payers: when a spouse or employer pays, add their number as an approved payer for that unit so it isn't flagged as a stranger every time.

The goal is that each odd payment teaches the system something, so your pile of exceptions shrinks month over month instead of repeating.

Turn every payment into a receipt and a record

An M-Pesa confirmation SMS is proof to the tenant, not a record for you. For clean books and calm disputes, each collected payment should generate:

  • A dated receipt the tenant can keep, ideally tamper-evident and signed by you as the issuer.
  • A running ledger per unit showing rent, utilities, deposits and balances.
  • An audit trail you can export when you need a rent roll, a bank statement match, or figures for your rental-income tax return, which you still file and pay yourself.

These records matter most on your worst day, when a tenant disputes a payment or you are reconstructing a year for the taxman. Capturing them at the moment of payment costs you nothing and saves hours later.

A simple monthly rhythm

Tie it together with a light routine: standard references on every reminder, auto-matching doing the bulk of the work, a five-minute pass over flagged payments, and receipts issued as you go. That rhythm scales from three units to three hundred without extra staff.

You do not need a new bank, a payment processor, or a cut of your rent to make M-Pesa rent collection feel effortless. You need a consistent reference, a reliable way to match payments, and a habit of recording as you go. Whether you build that around a spreadsheet, your own scripts, or a tool like Nyumba that plugs into your existing Paybill, the principle is the same: let the phone move the money, and let software do the remembering.
